Primary purpose of the role:

WECare’s Duty Manager is responsible for assisting with the smooth day-to-day running of the veterinary hospital in Sri Lanka. We have lots of exciting projects and expansion in the pipeline. We need a Duty Manager who can come on this journey with us and help the charity grow whilst maintaining our core values and standards throughout the clinical team.

Who we are:
WECare Worldwide is a UK and Sri Lankan registered charity set up by veterinary surgeon Janey Lowes. Our mission is to provide international standard veterinary care for less fortunate animals around the world, starting in Sri Lanka. The WECare Team is made up of passionate, dedicated and brilliant individuals who know how to work hard and enjoy ourselves while we do it. We aim to change the outlook for street dogs worldwide, with 75% of the globe’s dog population going without access to healthcare. We want to plug that gap and provide them with a whole lot of love while we do it!

Key responsibilities:

Operational Management:
Ensure WECare standards are maintained and protocols are followed, from cleaning and maintenance all the way through to reception and clinical admission procedures.
Coordinate logistics for rescues, admissions, discharges, and outreach programmes.
Work closely with remote teams, ensuring they are updated on daily hospital activities.
Assist with reception duties, including answering phone calls, emails and managing WhatsApp enquiries.
Address and organise maintenance, servicing, and breakdowns as needed.
Assist with the implementation of financial controls, including recording and reporting.
Maintain and prepare weekly and monthly reports for charity management.

Staff Management and Development:
Manage the onboarding of new team members and volunteers.
Assist with staff training on policies and procedures, and ensure compliance.
Conduct team meetings and staff appraisals.
Support company wide initiatives, and keep the team motivated, fostering a sense of community.
Manage staff accommodation and office spaces planning.

Community and External Relations:
Manage interactions with diverse community groups, including Sri Lankan, expatriate, and tourist communities and promote WECare within the community and tourist establishments.
Gather and organise content for social media, including videos and photos, and support the marketing team to promote WECare on online platforms.
Assist with the organisation of community outreach programmes, including scheduling, permissions, and transportation logistics.
Conduct hospital tours for visitors, sponsors, and donors.
