POSITION SUMMARY:

The Operations Assistant is responsible for supporting the Development & Communications team in payment processing, procurement processes, budget tracking, travel expensing, and ensuring timely entry of budget and invoicing. They are an expert in the organization’s policies and procedures around expenses and procurement and serves as a first point of contact for questions from DevComm colleagues, serving as a resource to help the division comply consistently with policies.

PRINCIPAL RESPONSIBILITIES:

• Assist team with management of new procurement processes including tracking necessary documents, purchase orders, invoices and ensuring proper documentation and approvals are obtained.
• Submit invoices to finance for payment, manage accruals and approvals needed.
• Ensure timelines are met for vendor payment processing.
• Provide training and compliance support for DevComm team members who are traveling for work, ensuring all finance paperwork, documentation, and approvals are in place
• Assist team with processes and procedures, including editing, writing, quality assurance checks and cataloging documents.
• Other duties as assigned

MINIMUM QUALIFICATIONS:

• 5+ years experience in data entry, office assistant or operations
• Strong working knowledge of accounts receivable, processing payments and data management
• Highly organized and attentive to details
• Able to successfully work in a highly-matrixed team environment
• Demonstrated ability to manage own work and projects
• Strong technical aptitude and ability to quickly master the use of new platforms and tools

PREFERRED QUALIFICATIONS:

• Bachelor’s degree or higher
• 2+ years experience in a client-facing role in an agency, or equivalent
