Job Summary

Responsible for coordinating, planning, and monitoring project activities to support both fundraising and engagement initiatives led by the Marketing team and project requests from other FH teams. Plays an important role in organizing and facilitating requests from stakeholders outside the Marketing team for creative/communications support, working closely with Marketing team members and stakeholders to brainstorm, plan and execute various projects. Will work within our project management tool to build and maintain project schedules, ensuring Marketing team leadership has visibility into team workloads and project progress.

Principal Responsibilities

• Assist and coordinate step-by-step planning and scheduling of various projects to ensure that goals or objectives of projects are accomplished within the requested time frame.
• Organize and manage projects within the project management system (Asana). Create self-explanatory tasks that provide detailed instructions for an individual’s tasks and the scope of the project, with resources provided as needed.
• Monitor and coordinate the day-to-day progress of assigned marketing projects, working closely with external agencies and internal stakeholders as needed. Maintain good communication with the project team to clarify tasks and ensure projects are staying on schedule.
• Manage project priorities and work with Marketing Project Manager to strategically adjust and/or reschedule as demands change.
• Gather requirements and inputs for project requests from various FH teams, acting as a liaison between the stakeholder and Marketing team members. Provide proactive communication to project stakeholders, ensuring visibility into project timelines and expectations for deliverables.
• Motivate Marketing team members to accomplish tasks effectively, efficiently and on deadline. Work with Marketing Project Manager to manage the Marketing team’s workload, anticipate upcoming roadblocks and work to proactively address competing priorities.
• Prepare project reporting as needed.
• Pursue ongoing training and professional development in the form of seminars, conferences, or other venues; intentionally take part in beneficial education opportunities that result in further certification and expertise in project management.

Job Level Specifications

• Demonstrated skills in project management with an ability to plan and coordinate work and ensure the efficient flow of projects and processes.
• Proficiency in using project management tools like Asana.
• Working knowledge of digital marketing strategies, concepts, and practices.
• Good understanding of nonprofit fundraising strategies and tactics.
• Demonstrated computer-operating skills, including proficiency in Google platforms, Microsoft Office products, and virtual technologies such as Skype and/or Zoom.
• Ability to sit/stand at a computer for up to 8 hours a day doing repetitive motions on a keyboard.

Experience

• 3+ years of experience in a project coordinator role or 5+ years of experience participating on project teams and providing administrative support on projects.
• Prior experience working within a marketing team or agency.
• Project Management Professional (PMP)certification is a plus.
• Prior experience in a complex, matrixed organization.
• Non-profit ministry experience preferred.

Education/Certifications

• Bachelor's degree required or equivalent combination of education and experience.

Language

Proficiency in spoken and written English. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
