• Help schedule courses and workshops, design the course catalog, set up zoom links, navigate timezones, etc to ensure participants have smooth access to their learning experiences
• Set up and manage systems to track attendance, inform credentials tracking, pay faculty, etc.
• Support the Global Institute’s annual in-person convening of transformational classroom, school and system leaders
• Copy-edit key documents and resources
• Manage and coordinate contractor (including language interpreters) paperwork and payment
• Upload resources to our Learning and Insights Hub
• Manage tracking against team budget; process reimbursements, requests for payment from external vendors, and monthly expense reports
• Co-create and manage internal and cross-team systems that enable the Academy leadership team to collaborate effectively with other key internal and external stakeholders
• Provide additional ad hoc administrative support that includes but is not limited to: contract processing, booking travel and hotels, sending thank you gifts, working with IT on technology issues, printing and mailing documents, trouble shooting video conference calls, coordinating mailings, maintaining listservs and contact information documents, ordering office supplies,etc.
As the ideal candidate, you will bring:
• Ability to thrive in a fast-paced, dynamic virtual work environment - managing a high volume of e-mail and other requests along with multiple streams of work, independently prioritize tasks, juggle competing priorities swiftly, and work effectively across a globally dispersed team environment
• Full proficiency in both English and either Mandarin, Japanese or Tagalog
• Proficiency in Zoom, Google Drive, and Microsoft Suite applications (Excel, Word, Outlook, and conducting online research for travel booking required)
• Experience supporting a senior staff member or team in a similar capacity strongly preferred
• Demonstrates self-motivated proactivity, excellent judgment, creative problem solving, and strong critical thinking skills
• Meticulous attention to detail and excellent organizational ability
• Strong copy-editing skills (in English)
• Excellent, proactive communication skills and a comfort engaging with diverse stakeholders, ranging from our own internal staff to high-stakes external audiences
• Consistently exhibits thoughtfulness, compassion, and generosity of spirit to internal and external stakeholders while driving towards results
• Experience with ways of working that center diversity, equity, and inclusiveness, and fosters the leadership of all staff members

Compensation
Salary for this position is competitive and dependent on country of hire and prior work experience and includes a comprehensive benefits package.
Travel and Hours
All work is delivered virtually. Travel is expected to comprise 10-20% of the work in this role . Given that we work across different time zones, some non-traditional hours for early or later calls are an expectation of this role.
