• Support monitoring and evaluation activities through program data/results tracking.
• Manage and archive all programming documentation for record keeping and referral purposes.
• With direction from the Director of Development and Communications, update all content on the main corporate website and support social media content and audience building.
• Troubleshoot and resolve website-related issues, in coordination with global project teams.
Administration Support and Operations
• Act as a support to the Chief Executive Officer, including maintaining calendar, schedule, correspondence and travel bookings.
• Provide administrative support to the Global Head of Programs and Chief Operating Officer as needed.
• Oversee and maintain filing systems, forms and templates across Google Suites, Microsoft 365, DropBox.
• Manage administrative aspects of the onboarding of all new employees and offboarding of departing employees, ensuring that human resources files are maintained up to date at all times.
• Assist in administrative aspects of staff recruitment exercises.
• Maintain administrative aspects of information technology systems and assist in the roll-out of new information technologies.
• Support the development and implementation of standard operating procedures to streamline administrative and operational workflows and processes.
• Provide general travel arrangement support to headquarters team.
• Serve as an office manager for the New York City office, maintaining office supplies, meeting Headquarters’ procurement needs, and acting as a representative vis-à-vis building landlord.
• Serve as secretary for regular Headquarters team meetings.
Experience:
• Diploma in administration, business or similar qualification. BA/BS would be an advantage
• At least 7 years of relevant experience with a nonprofit/501(c)(3)’s or private sector organization, with a preference for experience gained with internationally-facing organizations
• Mastery of Google Suites, Microsoft 365, Excel and DropBox
• Knowledge of QuickBooks and Salesforce would be an asset
• Experience, and comfort, with information technology applications, and leveraging new applications to address emerging issues
• Experience working in geographically dispersed organizations, with some staff working virtually
